Privacy policy

This policy covers our three sites: agentfaro.com, the free audit at audit.agentfaro.com, and Agent OS, the client dashboard at os.agentfaro.com.
Analytics
We use Google Analytics to learn how the sites are used: which pages people visit, how they arrived, how long they stay, and which steps they complete, such as starting an audit or sending the contact form. Google Analytics sets cookies that recognize a returning browser; the cookie policy lists each one.
A banner asks for your choice the first time you visit. If you decline, measurement stops and the analytics cookies are deleted. You can change your answer any time from the Cookie settings link at the bottom of every page, and one answer covers all three sites. Visitors in the European Economic Area, the United Kingdom, and Switzerland are not measured unless they accept.
Before anything reaches Google, we strip private audit report links and account identifiers out of page addresses. In Agent OS we attach an anonymous account number, never your name or email, so we can count active accounts. Google signals and ad personalization are switched off.
What we never do
No advertising pixels, no retargeting, no fingerprinting, and no selling or sharing of analytics data. Our hosting providers keep standard server logs (IP address, requested page, timestamp) for security and operations, retained briefly and reviewed only when something breaks or is attacked.
The free audit
When you run an audit, we receive what you enter: your name, market, and brokerage, plus anything optional you add, such as a phone number, email, website, or your team members' names. We use it to run the audit and build your report, keep it so your report link keeps working, and may contact you about the results. An email address you give the audit never goes into our sales email. Anyone with the report link can open the report, so share it with the people you mean to.
If you ask us to keep your report, we email its link to the address you give, from reports@agentfaro.com. If you also tick the monthly box, we run the audit again each month and email you the new report. Every monthly email has a link to stop, and stopping ends the monthly runs.
The contact form
When you submit the contact form, we receive what you typed: your name, email, and whatever else you chose to include. We use it to run the audit you asked for and to reply. Sending it does not add you to a mailing list, and we do not run drip sequences, sell or share your details, or contact you about anything other than what you asked. Submissions are delivered to us by email and kept as ordinary correspondence.
On the contact form and the audit, the City field suggests US cities as you type. What you type there passes through our server to Google Maps to find them; nothing else you enter goes with it.
The AI search index
If you ask for the AI search index on a field notes page, we keep your email address and send one email with a link to confirm. Nothing else is sent until you confirm. After that, we email you once a month, when a new issue is published, from reports@agentfaro.com. Every email, the first one included, has a link to stop, and it works the moment you press the button. We keep a record of when you confirmed and when you stopped.
We use the address to send the index and nothing else. It never goes into our sales email, even after you stop.
If you become a client
Signing in to Agent OS uses your email address and a sign-in cookie that keeps you signed in. Client work involves data beyond this page's scope: your business details, your profiles, your reporting history. That relationship is governed by the service agreement you sign, which spells out handling, retention, and your rights.
Email agents send from Agent OS
When an agent writes to you from Agent OS, the message is sent from the agent's own address through Amazon SES. We keep the message, and your reply to it, so the agent can see the conversation in one place. Only the agent's own team can read it. Our staff read it only to help the agent, and every such read is logged. Each message is deleted 24 months after it was written.
Unless the agent has turned it off, the message carries a small image that tells the agent when it was opened: when your email app loads it, we record that the message was opened and when, and nothing else. We set no cookie, and nothing is sold or shared with advertisers. Like every request to our servers, the image request appears in our hosting provider's standard logs. Many email apps load images on their own, so "opened" is approximate, and blocking images in your email app stops it.
Your rights
Ask us what we hold about you, ask us to correct it, or ask us to delete it, and we will, promptly and without a process designed to make you give up. Use the contact form.
